Seems the more Collectifyers there are, the more we asked for a breakdown as to all the things they can do with Collectify. Here's what Collectify can do for you.

A marketing guru would say that we should never say it but please make no mistake, Collectify is software and that means there's work to do. However - we added quickly - once you have entered your objects, moving forward is simple and quick. May we offer one piece of advice? Try not to enter the entire contents of your home all at once. Try just a few objects a day and you enjoy the experience. It is truly amazing how much fun it is learning about what you own, storing information for future generations, friends, fellow collectors and Collectify makes it so easy to share via email or keep it to yourself.

We can save you reading all the rest. If you just want to briefly list your stuff, how much it cost and where it is, Collectify can do it easily. If you want more - more then you ever believed possible to catalogue, manage or organize, please read on.

We continue to try to make cataloguing, managing and organizing your objects more easy with each upgrade. (Free so far - you can even use a hand scanner to enter text directly from magazines, catalogues and books directly into Collectify ..)

  • Catalog any type of collection in brief or in detail. With over 25 different collection types already set up, Collectify is ready to use immediately upon installation. And don't forget, you can customise Collectify for almost any other form of collection.
  • Balloon tips appear when you place the mouse on every field. They provide an explanation on what stuff goes into the particular field.
  • Data entry is simple. We have editable drop-downs throughout, some with information we think you may need. E.g. Paintings, Drawings and Sculptures comes with fields of information ranging from Artist to medium - such as acrylic, green patina bronze, charcoal, glass, gouache, graphite, metal, mixed media, oil, wood. Or technique, which suggests the work, may be airbrushed, carved, cast, collaged etc. If you don't want it - edit it out!
  • Many collectors have used other programs and want to move everything to Collectify. Our product comes with an Import / Export for records to/from a Collectify database, dBase File, Access File, Excel File or Text File
  • Scan images into the software directly and edit your images with the image viewer
  • Duplicate objects for collection types where you may have more than one.
  • Drag and Drop items into different list, list headers, quickview and description fields.
  • Keep track of the status of objects, sold, gifted, bartered etc. Easy drag and drop when status changes and the ability to keep a history of sold or gifted objects.
  • Ability to personalize drop-down lists, description screens, entry wizards to speed data entry
  • A 'Remind me' feature
  • Creator and Contact lists are stored independently, creating an address book for your records. Once information is entered, you will never have to re-enter creator, contact and manufacturer but simply select them from the Creator/Contact list. This feature will also let you build an up-to-date or historical record on designers, artists, makers or factories etc.
  • Links contacts, literature, valuations and insurance policies to your objects using "Link to" field and keeping all of this information directed to the specific Object.
  • Collectify is alarmed with a reminder on things to do. Collect a photo from the framer; pick up a damaged object from the restorer, pay your premiums etc.
  • Collectify allows you to link each object to different policies.
  • Collectify will even tell you when you exceed the coverage on any or all of your insurance policies.

Modules of Object specific information include:

  • Quick View module (read-only)
  • Description module (editable screen)
  • Accounting module (allows you to enter multiple accounting bills and keeps a running tally, includes a currency converter which allows you to keep track of original prices paid and converts them back into the default currency you set when you installed Collectify). It will also allow you to track profits and losses on objects. Attach an image of invoices.
  • Beneficiary module (allows you to organize the bequeathing of objects to friends, families, institutions etc.).
  • Comparison Objects module (allows you to store information relating to similar objects to keep track of auction prices, value of similar works, and also room to attach image. Another use made be to track creators/manufacturers body or evolution of work or in the case of damage, allows you to compare the before and after).
  • Condition module (gives you the ability to track the condition of the specific piece and store valuable information related to the care of the particular work, and also room to attach image if one is available).
  • Consignment module (allows you to keep important information concerning the consignment of objects should you decide to sell the object).
  • Copyright module (contains information about the copyright of object, i.e. Copyright holder, restrictions, credit line, and photographer).
  • Journal module (allows you to enter personal information such as how and or why you bought the piece - family legends to be saved for future generations. You may have noticed on appraisal shows, the experts always ask, "and where did you get this from", or "what possessed your Aunt to buy this??").
  • Loans module (if object is on loan you can enter relevant info including location of loan, exhibition title, exhibition dates, return date and whether it has returned. Don't forget, Collectify will remind you if you want).
  • Measurements module (allows you to document exact measurements of the object and includes a conversion tool from/to Imperial/metric. You can also add the dimensions of the pedestal or base. Actually, if you were entering a fifty stone diamond ring, you could record the size of each).
  • Media module (allows multiple images of the object to be attached with one being selected as the thumbnail).
  • Permanent Location module (allows you to keep track of the object's location i.e. the location, the room, the shelf etc.).
  • Provenance & Expertise module (allows you to select the type of Provenance and Expertise information they have on the object including sections on Auction, Exhibition, Expertise and Previous OwnershipÑalso room to attach image if one is available).
  • Related Objects module (allows you to create relational links between objects that have any sort of similarity the user would like to keep track of, i.e. by the same artist, bought at the same gallery, a five piece silver tea service should you decide to enter each separately - which you might do if as happens, the creamer and jug were made by a different silversmith!).
  • Signatures & Marks module (allows you to detail the signatures or markings found on the object, and also room to attach image if one is available).
  • Temporary Move module (if an object has been moved for any reason, allows you to detail why and where and when it will be returned and Collectify will of course remind you, should you wish it).
  • Insurance Claims module (allows you to keep detailed information related to an insurance claim made on the object's behalf, and also room to attach image if one is available).
  • Insurance Policies module (allows you to keep detailed information related to an insurance policy made on the object's behalf or linked to object as a blanket policy, and also room to attach image if one is available. You can also record the level of security your alarm company holds with the insurance companies. Something the companies like).
  • Literature module (allows you to record any pieces of literature related to the object. Not just printed matter, but cyber stuff also, and with room to attach image if one is available).
  • Valuation module (allows you to keep a record of all the valuations done on the object including information on the appraiser, value of objects, and valuation type, i.e. Market Value, Replacement Value, Willing Buyer/Willing Seller price and Probate/Succession price, etc.).

Other stuff you can do.

  • Add live websites and email addresses (hyperlinks) and link directly to them
  • Track financial details like purchases, expenses and revenues and create reports that will total these financial details in whichever way you wish to total costs. Even lets you know if you made a profit after the sale.
  • Automate reminders of policy renewals, shipping dates, consignments which can then be alarmed on the Homepage to notify you of important dates and deadlines
  • Calculates all costs related to Insurance Policies and will notify you if the policy no longer covers the cost of all covered objects, by opening a window and informing you of the policy adjustments that need to be made during shut down of Collectify .
  • Create a Virtual Catalog (allows you to create Virtual Catalogs of objects you may wish to group together in order to make reports, slideshows and screensavers).
  • Create a Slideshow (using a Virtual Catalog, the Slideshow is a feature that gives you a way to display your collection, creating executable slideshow files, so that people who do not have the software can still view the objects and quick view details)
  • Create a Screensaver (select images of your favourite objects to create a personalized screensaver)
  • Create Reports (You can create a report from scratch or use one of over 40 included with the software. Collectify generates Adobe Acrobat reports in inventory, grid, image sheet or standard layouts. These can be printed or delivered via email and the recipient does not need to have Collectify).
  • Advanced Find and Replace tool.
  • Offers varying levels of secure user access (password encrypted, differing levels of viewing that you set, i.e. To block all financial records, give full access without being the owner of the collection etc)
  • Provides 9 Personalized Color Themes to choose from.
  • Full Online Help manual which opens to explain which ever window you opened .
  • Resizability of Main Explorer for convenience when working in item view

The Active Objects screen will show you:

  • The tool bar at the top
  • The Explorers - the Collection Explorer, the Object explorer and its modules
  • The Recent Items list.
  • Convenient Find window.
  • The Record Explorer manages screens according to module.
  • The central window with its various views - list, thumbnail, item.
  • The Record Identifier and its convenient navigational tools at the top.

The Homepage:

  • Customizable to allow you to choose which features are displayed.
  • You can access all areas of the software from the Homepage List Views through hyperlinks
  • "Add a new" hyperlink to new object wizard
  • Reminders (all reminders you set are alarmed to appear here the chosen date)
